Has anyone ever seen or implemented a personal workspace setup within a EDRMS such as TRIM?
What I am envisaging is the concept a personal folder for each employee, which acts as a sort of offline records but which is "online" for want of a better word. It would be used for the storage of draft documents and other associated documents that the user doesn’t always put into a corporate record, but still wish to keep none-the-less. The reason I am asking is that in order to further TRIM's use in our organisation, it has been suggested that a personal workspace is required in TRIM that can act as an alternative to Outlook folders and network drives. I guess many will say that this is what offline records is for but you cant really share documents in offline records and neither can you use offline records for storing emails. There would of course need to be a set of rules to stop these personal workspaces from becoming dumping groups for records that should be categorized into existing files, but I know other systems that allow such an approach, such as i-manage (worksite). I think some organisations may have already done this with TRIM and I would like to know how successful (or not) it has been for them. Cheers Joshua |

May I suggest you contact David Van Buerle at davidvb@iinet.au? He and his team sell and customise Trim and he is a nice guy to boot. If it has been done and can be done, I assure you he will let you know or perhaps point you in the direction of someone who may help

I think providing personal workspace in your EDRMS is a great idea. I have toyed around with the idea in previous roles but never actually implemented it. Its a good idea because: if you want to wean staff way from alternative eletronic storage then you need to provide a personal space, the personal stuff is in a controlled environment and can be controlled, it probably will make life easier for staff if they can access their own stuff quickly and easily - and isn't that what we're about?

This is a great idea but needs some careful thought and education of users and would require the removal of any area where records could be ferreted away i.e. no more file directories - shock horror!
One of our clients has actually created a TRIM record type for personal records and from what I gather it has been succcessful. If you contact me at consulting@iea.com.au I will see if I can put you in touch with our client. Regards Gail |
